Presentation of New Business
Presentation: Jackie said the same logic as the previous housekeeping motions applies. [This was a recommendation from the ad hoc committee tasked with updating the assembly guidelines, which haven’t been updated since 2017. The committee felt it was the assembly coordinator’s responsibility to make motions.]
Questions:
Q: Would butcher paper fall under a different category (i.e., paper goods instead of decorations)?
A: Assembly treasurers decide which items go into what category.
Q: Could we go green with some of these items instead of paper products?
A: If it fits within the budget, it’s up to the assembly to determine what materials to buy. Buying cloth table covers would be hard to fit within the budget.
Q: What would be covered?
A: Decorations often include pipe cleaners, centerpieces, crayons, etc. The host district gets to put their own “stamp” on the decorations for the assembly.
Q: Isn’t it “up to” rather than spending $150?
A: Yes. Many planning committees this panel have fallen under budget.
Q: Do these increases originate from hosts?
A: The numbers came from the ad hoc committee. They interviewed people involved in hosting assemblies and past assembly coordinators and looked at pricing.
Q: Why do we have pipe cleaners on the table?
A: At some point, a host committee put pipe cleaners on the tables; people liked them, and it stuck. It’s a tradition, not a requirement. It’s up to the host committee to determine what to use for decorations.

This is a program of attraction, so why not if this makes it more attractive?
I sure miss the Play-Doh.

Personal opinions: There is much variability in the cost of hosting assemblies. I favor this motion to allow the most flexible budgets for our events.
My district hosted an assembly, and this was something we talked about at great length. I’m in favor.
The chair took a sense of the room and determined that the body was ready to vote.
Vote by a simple majority in favor of the motion (23 for and 3 against).
Minority opinion: We heard a report about the Area needing more funds, so I’m confused why we would pass this. It seems frivolous.
